Question 1

Is this guide for a personal event, or for an organization's official event?

Accepted Answer

This guide is specifically for chambers, associations, clubs, and institutions booking an event on behalf of the organization itself. If you're planning a personal reunion or a casual social gathering instead, our reunion planning guide or expat community guide will be a better fit.

Question 2

How far in advance should our committee start planning?

Accepted Answer

For a routine AGM or annual dinner, two to three months is usually enough. For a milestone anniversary or an installation ceremony with senior VIP attendance, six months or more gives real breathing room for venue and schedule coordination.

Question 3

How large a guest list can you handle?

Accepted Answer

Institutional events on this list regularly range from 80 to 500 or more guests. Venue and catering are scoped to the specific guest count from the first conversation, not adjusted after the fact.

Question 4

Does Look N Feel get involved in an association's internal elections or politics?

Accepted Answer

No. We plan the event an association has already decided to hold, once its leadership is in place. Internal governance, elections, and politics stay entirely outside what we do.

Question 5

Do you handle large traditional catering formats, like a Mezban?

Accepted Answer

Yes. Large-scale traditional catering formats have their own logistics, different from a standard banquet, and are planned for specifically rather than adapted from a generic catering package.

Question 6

Can our committee book with you for the same annual event every year?

Accepted Answer

Yes. Many institutional clients return year after year for the same annual dinner, installation ceremony, or cultural night, and consistency across those repeat bookings is something we plan for deliberately.

Question 7

Who on our side typically needs to be involved in planning?

Accepted Answer

Usually the general secretary or event committee lead as the main point of contact, with sign-off from the president or executive committee at key decision points, venue, budget category, and guest list are the three that usually need committee-level confirmation.

Question 8

How do you handle continuity if leadership changes partway through planning?

Accepted Answer

Institutional timelines sometimes overlap with a change in leadership. We keep planning documentation, not just conversation history, so a new committee member can step in without the event losing momentum.
